Reservations and the folio

Every stay of the hotel: today's arrivals and departures, the guests in house and what is coming; a new reservation priced night by night; and one stay's page with its folio.

The reservations

The chips: All, Arrivals today, Departures today, In house and Upcoming, with the statuses below them. Narrow by source and room type, or search a reference, guest, phone, email or room number. The list shows Reference, Guest, Room type / room, Arrival → departure, Guests, Status, Source and Room total.

The statuses: Tentative, Awaiting payment, Confirmed, In house, Checked out, Cancelled and No-show.

The reservations

A new reservation

Press New reservation.

Under The stay choose the Room type, the Rate plan, the Arrival and Departure, the Adults and Children, and the Room (or Place automatically). The Price panel prices it night by night.

Under The guest choose A new guest and type the name, phone, email, nationality and ID or passport number, or A customer already in Zyntra.

Under The booking choose the Source (direct, phone, walk-in, website, a travel agent or a booking platform), its reference and the Status. Add internal notes and the guest's requests.

Press Save reservation. When a rule refuses the stay (the shortest stay, a closed night), Allow anyway lets a person who may decide book it all the same.

One stay

The buttons follow the stay: Confirm, Check in, Check out, Extend (a new departure), Move (another room), Edit, Cancel reservation (with a reason, or Waive the charge), No-show, and E-mail the guest.

On the Folio press Post a charge for what the guest used — food, minibar, laundry, transport, spa, a service — and Post the charge.

Take a payment: the amount and how it was paid, then Record the payment.

A folio has two windows: Window A · the guest and Window B · another payer (a company or an agent). Move to B sends a charge to the other window; Invoice this window raises its invoice; Copy payment link gives the guest a link to pay.

Beside the folio: The stay, Money, the Nightly prices, and below it the Invoices, Payments, the activities booked, the e-mails and the History.

Requests

Guests who found the hotel full on the booking page and asked to be told when a room is free. The tabs: Waiting, Answered, Booked, Closed and All. Answer writes to the guest; Book it turns the request into a stay; Mark answered and Close tidy the list.

A clerk without the folio right does not see on a stay what is due now, what may be refunded, or the refund button. An activity booking is cancelled off the bill only once, and only while it has not started and its charge is not invoiced or voided. While Concierge is switched off, the desk offers none of its bookings to fill a stay from.
