Flowmind
Every Flowmind topic of the Zyntra OS user guide, step by step: Flowmind: automatic rules, Build a rule: when, where, then and 10 more.
12 topics
- Flowmind: automatic rulesA Flowmind rule watches for something happening and then does something about it, in any part of the system: for example, when an invoice goes overdue, make a task for its owner.
- Build a rule: when, where, thenEvery rule has the same three parts. When says what sets it off, Where says which records it is for, and Then says what it does, step by step.
- Every trigger, by moduleThe events a rule can start from, as the When tab names them. Each module puts its own records and events here; a module that is switched off is not offered.
- Every action a rule can takeWhat a rule can do, as Add an action on the Then tab names it. The list offers only what the chosen record can really be asked to do.
- Approval steps: a rule that asks for sign-offA rule can send a document to be signed off: the Run an approval step opens the document's approval chain, and the chain's signers decide it, one step after the other.
- Tell several people: notifications and emailsA rule can ring the bell of the people who need to know, or send them an email, from one step: the record's owner, a colleague, and as many others as you tick.
- Call a webhook: send a record to another systemA webhook step sends the record that set the rule off to an address outside Zyntra OS, such as the tool another team works in, and writes the answer it gets back into the rule's history.
- Try a rule before your team relies on itRun a new rule on your own actions first, read what it did step by step, and only then let it act for everyone.
- Flowmind historiesEvery run of every rule: what fired, what it did, and what it refused. Come here to see whether a rule did its work, and why not when it did not.
- Who may do what in FlowmindEach thing a person does in Flowmind is a right of its own on their role, and a rule itself can never do more than the person who wrote it.
- Example rules for each departmentRules that sales, HR, support and accounting teams use every day. Each is built with the steps in Build a rule: copy the When, Where and Then into your own.
- Flowmind settingsThe categories rules are filed under, the ready-made tasks a rule can make, and the safety limits of the rules.
